Introduction This Privacy Policy describes how MyPhD collects, uses, and discloses your personal information when you use our digital services. We are committed to protecting your privacy and handling your data in accordance with applicable privacy laws in Quebec and Canada. 2. Information We Collect We collect the following, for the purpose stated next to it. Fields marked required are needed to create and run your account; the rest are optional and only make your dashboard and AI features more useful. Name, email and password (required) — to create and secure your account, and to sign you in. Academic profile: country, university, field of study, research topic, supervisor, programme dates (optional) — to personalise your dashboard, timeline and AI assistant. Payment information (required to subscribe) — handled by Stripe; see section 9. We never see or store your card number. Content you add: references, milestones, tasks, thesis chapters and similar (required to use those features) — to provide the corresponding tool. Usage data (optional, only if you accept analytics; see section 7) — to understand which features are used. Communication preferences, such as your newsletter subscription (optional) — to send you the updates you asked for. 3. How We Use Your Information We use the collected information to: Provide and maintain our Services Process your transactions Send you important updates and notifications Improve our Services Comply with legal obligations 4. Data Storage and Security We implement appropriate technical and organizational measures to protect your personal information. Your account and content data (profile, references, milestones, thesis chapters and similar) is stored on secure servers located in Canada. Some of the services we rely on to run MyPhD process personal information outside Quebec and Canada, including in the United States: our payment processor Stripe (section 9), our AI inference provider Groq (section 8), our transactional email provider Postmark, and, only if you accept it, Google Analytics (section 7). Before using each of these providers, we assessed that they offer a level of protection for personal information equivalent to what Quebec law requires, as required before a transfer of personal information outside Quebec. 5. Data Retention We retain your account and content data for as long as your account is active, and for a reasonable period after you delete your account or stop using our Services, to allow you to recover it, resolve disputes and meet our legal and accounting obligations (typically no more than a few years). AI usage logs are cleared automatically every 30 days (section 8), and analytics data, if you accepted it, is kept for 14 months (section 7). You may request deletion of your data at any time, subject to legal requirements, as described in section 6. 6. Your Rights Under applicable privacy laws, in particular Quebec's Act respecting the protection of personal information in the private sector, you have the right to: Access your personal information, and be told who it has been shared with Correct inaccurate, incomplete or ambiguous data Request deletion of your data (the "right to be forgotten") Withdraw your consent at any time for anything that relies on it, such as analytics (section 7) Object to, or ask us to stop, processing your data Data portability: receive your data in a structured, commonly used format To exercise any of these rights, contact our Privacy Officer (section 12). We do not use any automated process to make a decision that produces legal effects concerning you or that significantly affects you; AI features (section 8) only suggest, and a human, you, always makes the final decision. If you believe your rights have not been respected, you can also file a complaint with Quebec's Commission d'accès à l'information (cai.gouv.qc.ca). 7. Cookies and Tracking We use the storage our platform needs to work, such as keeping you signed in and remembering your theme and layout. These are strictly necessary and do not need your consent. Analytics is optional and off unless you accept it. If you accept, we use Google Analytics 4, provided by Google LLC, to understand which features are used and where people get stuck, so we can improve MyPhD. It sets the cookies _ga and _ga_* and sends usage data to Google: the pages you visit, the features you use, and technical details such as your browser and approximate location. When you are signed in, we also send a random account identifier (never your email or name) and whether you are on a free, trial or paid plan. We never send your research content, AI prompts or answers, references, milestones, emails or names, and we cut page addresses down to the page itself (plus marketing campaign tags) before they are sent, so tokens and other query strings never leave your browser. We do not use Google's advertising features or personalised ads. We keep analytics data for 14 months. Google processes it on servers that may be outside Canada and Europe, including in the United States. If you reject, or do not answer, no analytics script is loaded and no analytics cookies are set. You can change your choice at any time with "Cookie settings" in the site footer or on your Profile page. Withdrawing stops collection and removes the analytics cookies. If you accepted, we ask again when what we collect changes, and after a year. 8. These Terms of Service ("Terms") govern your access to and use of our digital services, including our website, applications, and any other digital platforms (collectively, the "Services"). By creating an account or using the Services, you agree to these Terms and to our Privacy Policy, which explains what personal information we collect and why. 2. Who Provides the Services MyPhD is an independent project, not a registered corporation. It is operated by Merit Idea Solutions, and by email at [email protected]. In these Terms, "we", "us" and "MyPhD" mean this operator. 3. Eligibility You must be at least 14 years old to create an account (see our Privacy Policy, section 10) and able to enter into a binding contract to use the Services. If you use the Services on behalf of a university, lab or other organization, you confirm you are authorized to accept these Terms for it. 4. Licence to Use the Service Subject to your compliance with these Terms, we grant you a limited, non-exclusive, non-transferable, non-sublicensable licence to access and use the Services for your own academic or research work. 5. Subscriptions, Free Trial and Billing Current prices and billing intervals (monthly or yearly) are shown on our pricing page and again at checkout before you pay; we won't change what you owe without telling you first. Paid subscriptions are billed through Stripe, our payment processor, and renew automatically for another billing period at the then-current price until cancelled. Our free plan is free forever and needs no card. When you subscribe to a paid plan, Checkout includes a 7-day free trial: a card is required to start it, and it is charged automatically for the plan and billing interval you chose once the trial ends, unless you cancel first. Check the checkout page for the exact trial length and first-charge date before confirming. 6. Cancelling You can cancel anytime by emailing [email protected] from your account's email address. Cancelling stops the next renewal; you keep access until the end of the period you already paid for, and we do not refund the unused part of that period. Due to the digital nature of the Services, payments already made are otherwise final, except where the law gives you a right to a refund or to cancel, which nothing here takes away. 7. Availability and Changes to the Service Our Services are delivered digitally; access begins as soon as your account and, for paid plans, your payment are set up. Display quality may vary with your device, connection and browser settings, and we may add, change or discontinue a feature at any time. If we remove a feature you have paid for or that holds content you created, we will give you reasonable notice and a way to export your data first where that is practical. 8. Intellectual Property The Services themselves (the software, design and MyPhD name) are owned by us or our licensors and protected by Canadian and international copyright, trademark, and other intellectual property laws. You keep ownership of the references, notes, milestones and other content you add; you grant us only the licence needed to store and display it back to you in order to provide the Services. 9. Warranty Disclaimer THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, TO THE FULLEST EXTENT THE LAW ALLOWS US TO DISCLAIM THEM. Nothing in these Terms removes a legal warranty or other consumer protection you have under Quebec or Canadian law, including under the Consumer Protection Act, that cannot be waived by contract. 10. Limitation of Liability To the extent the law allows, our total liability to you for any claim relating to the Services is limited to the amount you paid us in the 3 months before the claim arose, and we are not liable for indirect, incidental or consequential loss (such as lost data, time or opportunities).
