01Why the usual way fails
Shared resources belong to everyone and therefore to no one, so the booking process is usually a mix of phone calls, chat messages and a spreadsheet only one person updates. Chat groups move fast and lose requests. Paper logbooks in vehicles end up with missing trips, unreadable entries and readings that do not match. Professional fleet software exists, but it is often built for large companies, needs hardware or GPS in the vehicles and asks every user to create an account. For volunteers and small teams, that is too much.
02How Pickup & Return by Dispoly helps
Dispoly Pickup & Return gives you one live calendar for vehicles, equipment and rooms. Members pick a free slot and double bookings are blocked, while external users can book through a shared link without an account. A QR code on each vehicle lets people book or record odometer, fuel and damage at pickup and return, all in the browser. You can import your inventory from a spreadsheet and embed the booking page on your own website.
“Guests pick a free slot right in the availability calendar. Double bookings are technically impossible.”
“Record odometer, fuel and damage at pickup and return, also via the QR sign at the vehicle.”
03Step by step
- Upload your inventory as CSV or Excel to create categories and locations.
- Print a QR code for each vehicle or piece of equipment and attach it.
- Share the booking link with members and neighbouring groups.
- Ask drivers to record odometer, fuel and damage at pickup and return through the QR sign.
- Subscribe to the resource calendars in Google, Outlook or Apple Calendar to see bookings.
04Tips
- Start with the resource that causes the most calls, usually the vehicle. Once people see it works there, adding rooms and equipment is easy.
- Put the QR code where people already look, for example next to the ignition key or on the room door. The easier it is to scan, the more complete your records will be.
- Agree on a simple rule for returns: odometer, fuel and any damage, every time. With these three fields the next driver knows exactly what to expect.
- If you need a tax-compliant trip log in Germany, keep that separately. Dispoly says it is not a logbook that meets German tax requirements.
