How to manage several email accounts from one inbox

You have a work address, a personal Gmail, an old Outlook account and maybe a side project mailbox on your own domain. Every morning you open them one by one, scroll past newsletters and receipts, and hope you did not miss the email that actually needed an answer. Somewhere in there is a reply you owe, but by the fourth inbox you have lost track. The checking itself starts to eat a real part of your day.

The short answer

MorningZero puts every Gmail, Outlook, Microsoft 365 and IMAP account you own into one unified inbox behind one login, while your mail stays with your provider. Its assistant, Zero, reads each email as it lands, sorts it into Needs you or Other, and shows the reasons for and against in plain words.

01Why the usual way fails

Each provider has its own app and its own login, so switching between them is slow and easy to skip. Most of the mail you get is sent by machines, which buries the few messages from real people. Forwarding everything into one account mixes up which address you should reply from and can break filters. And many smart inboxes sort mail with a score you cannot question, so you never know why an important email ended up in the wrong place.

02How MorningZero helps

MorningZero puts every Gmail, Outlook, Microsoft 365 and IMAP account you own into one unified inbox behind one login, while your mail stays with your provider. Its assistant, Zero, reads each email as it lands, sorts it into Needs you or Other, and shows the reasons for and against in plain words. A reply you owe stays flagged until you send it, and you can correct a tag for a thread, a sender, a whole domain or a phrase. Drafts can be prepared for you, but nothing is sent without you.

03Step by step

  1. Start the free trial and sign in with Google or Microsoft, or add an app password for providers like iCloud and Fastmail.
  2. Connect the mailboxes you check most; today's mail is sorted in about a minute.
  3. Work through Needs you first, where threads waiting on your answer are marked.
  4. Hover the question mark on any row to see why it is there, and correct it if Zero got it wrong.
  5. Use Sweeps to unsubscribe from senders you never open across every inbox.

04Tips

  • Pick the mailbox you reply from on every draft. When several addresses live in one list, choosing the right sender keeps work and personal mail apart, and your signature is added per mailbox.
  • Teach the sorting early. A single correction scoped to a sender or domain changes how the next emails are handled, so the first week of feedback pays off for months.
  • Clear the backlog of newsletters in one go. Grouping senders you never open across all inboxes makes it quick to unsubscribe and archive years of clutter.
  • Set two or three fixed times a day to check the one list instead of opening every inbox whenever you remember. Fewer checks of a sorted list beat many checks of unsorted ones.

Gmail, Google Workspace, Outlook and Microsoft 365, plus app-password providers such as iCloud Mail, Fastmail, Yahoo Mail and Zoho Mail, and your own domain.

Does my mail get moved to MorningZero?

No. It sits over the mailboxes you already have and your mail stays with your provider.

Can it set up rules?

Yes. You write a rule in a sentence, preview the matching threads before saving, and an audit view shows what each rule did.
